Sharing the Responsibility
Kyabram Regional Clinic believes the outcomes in health care are a shared responsibility between the patient and their doctor. The results of these can determine if any further treatment is required for your ongoing healthcare.
Our practice urges patients that have had pathology or radiology tests to telephone the practice and book a follow up appointment for their results.
We have a system in place where your doctor after reviewing your results may require you to be recalled into the practice for an appointment to discuss these results further. If this is the case staff member will contact you to arrange a suitable time.
YOU HAVE A RESPONSIBILITY TO FOLLOW UP YOUR RESULTS.
You can make appointments at the Kyabram and Tongala clinics during their business hours.
Where possible we encourage patients to request their preferred doctor, however they are not always available so you may need to make an appointment with one of the other doctors if you feel it is urgent. Please inform the receptionist of the urgency.
The doctors try to keep waiting times for patients to a minimum. If other family members require the doctor please make separate bookings. Unforeseen emergencies may disrupt the doctor’s schedule. If you feel you have been kept waiting an unreasonable length of time please speak to the receptionist. Please note a standard appointment is normally 15 minutes.
Urgent appointments are available on a daily basis, however they may not be with your preferred doctor. These appointments are booked very quickly.
If you have a problem or several problems which you believe may be rather complicated to sort out, please ask for a long consultation. Please note a standard appointment is normally 15 minutes.
All doctors perform home visits when the patient is too ill or incapacitated to attend the surgery. If a patient requires a home visit please telephone the surgery and advise the staff the urgency for the home visit. Please note post COVID all home visits are assessed on a case by case basis and at the doctors discretion.
It would be appreciated if patients could notify the surgery as soon as possible if the appointment is no longer required. We require at least 3 hours notice prior to cancelling where possible.
Some of our patients are failing to attend booked appointments without cancelling them, please remember these appointments could have been used for someone else. We have introduced a new policy in which each patient who fails to attend 3 appointments in a 6 month period will be required to pay the cost of their last booked appointment before they will be able to see the doctor. A warning letter will be sent after your second missed appointment.
It would be helpful if patients who have only limited English would bring an interpreter to the appointment if possible. If not, we can arrange an interpreter through the Interpreter Service on 13 14 50.

We are not a bulk billing practice please be advised there are out of pocket fees to see the doctor. Please settle accounts on the day. Discounted rates apply for same day payments. We accept Eftpos and all major credit cards. Current Veterans are bulk billed. Excluding Veterans, all patients seen at the hospital out of surgery hours will be sent an account. If you are unable to meet an account payment or have any financial or other problems, please speak to your doctor or the practice manager.
If you would like to know the cost of a particular procedure or visit, please speak to the staff at reception who will be happy to look it up for you.
All patients who require a surgical consult (surgical procedure or anaesthetic) will be required to pay a full fee, not bulk bill, this includes all concession card holders.
Please remember you will receive a rebate back from Medicare.
The fees for all other consults are unchanged.
Some doctors are happy to accept calls however, to prevent constant disruptions whilst consulting, they will usually return calls at the end of their consulting sessions.
Our practice uses a number of computerised generated recall / reminder systems, such as reminders for Pap smears, diabetic reviews etc. These are all to enhance the efficiency of the practice and prevent patients missing important reviews with their doctor. If you wish not to be included please advise doctor at your next consultation.
Our practice also participates in the National Bowel Cancer Program and the Victorian Cytology Pap Smear Registry.
This surgery is a teaching practice and will have medical students from time to time. Prior to your consultation you will be asked permission for the medical student to be present. Please inform the reception staff if you do not wish the medical student to be present at your consultation.
